Reception service in a company: tasks, procedure and benefit

Whoever signs in at reception is already inside the building. A look at the daily routine shows why hospitality and access control belong together there.

Reception service in a company: tasks, procedure and benefit

Reception service: what tasks does it have in a company?

A reception service greets visitors, checks their registration, leads them to the right contact and documents who is in the building. This makes it both the first impression of your company and the first access control. A security-trained reception service combines both without guests feeling monitored.

Besides the greeting, the tasks include telephone, mail, parcels and issuing visitor badges. A classic porter mainly opens doors and takes in keys. The reception service, by contrast, knows appointments, procedures and emergency routes and can answer questions before they become a problem.

Visitor management at reception records:

  • Registered visitors with name, appointment and contact person, so that nobody moves through the building unnoticed
  • Couriers and deliveries, which are accepted or passed on to the right recipient
  • Tradespeople and external service providers, whose access is agreed in advance and recorded in the log

Every visitor, courier and tradesperson passes reception, and with the right staffing it thereby becomes one of the most effective control points in the whole building.

How a visit at reception works

A visit always follows the same procedure, so that neither guests nor employees depend on chance. It consists of four steps that make the difference.

  1. Greeting and identification: The guest is addressed in a friendly way, and reception compares name and appointment with the registration.
  2. Registration: The staff enter the visit in the log and, if needed, issue a visitor badge.
  3. Forwarding: The contact person is informed and collects the guest, or reception escorts them to the destination.
  4. Farewell: When leaving, the badge is taken back and the exit is noted in the log.

The last step is often forgotten, although it gives the log its value. Only those who also record exits know in an emergency who is actually still in the building. In an evacuation this list is the only reliable source.

Data protection under the GDPR applies to visitor data. Only what you need for access should be recorded, and the lists should not be visible to unauthorised people at the desk. A sheet lying open on the desk reveals the names of the other guests to every visitor. A free consultation clarifies this for your property.

Combining hospitality and vigilance

A security-trained reception greets visitors in a friendly way and inconspicuously checks appointments and IDs at the same time. It reports anomalies internally to the responsible person without the guest noticing anything. This balance can only be achieved with targeted training, because inexperienced staff quickly appear either too suspicious or miss anomalies entirely.

In an emergency, reception is usually the first place where something is noticed. The staff are therefore trained in evacuation procedures, alarm protocols and emergency contacts. In practice reception is also the first point of contact for rescue services, which is why up-to-date emergency plans and contact lists must be at hand there at all times.

Working together with a doorman can make sense when a building with many residents or tenants needs a second control point at the entrance. Reception then remains the contact for visitors, and the doorman controls access.

Typical mistakes at reception are quickly named: unstaffed times during the lunch break and visitor badges without a return check. Added to this is a telephone that nobody covers when reception briefly leaves the desk. Anyone who closes these gaps has usually removed most of the risks.

Who benefits from a reception service, and how does it stay consistent?

A reception service is worthwhile for companies that regularly receive visitors, couriers or tradespeople and do not want to sort out access on the side at the door. This applies to offices, practices, hotels, residential complexes and commercial buildings. If your team has so far handled reception alongside its actual work, that speaks for a dedicated service.

So that the service stays the same when staff change, handover notes between shifts are important. They record expected visitors, ongoing issues and pending deliveries for the next shift in writing. Ideally a customer does not notice the shift change at all, because the service stays noticeably the same, whoever happens to be at the desk.

At ESG we follow the usual sequence: risk analysis, strategy, deployment with monitoring, then optimisation. Our IHK-certified staff can be reached around the clock, and after deployments you receive incident reports. When it is about securing the whole site, property protection complements reception.

How much staffing you need depends on the number of visitors, opening hours and the size of the building. The consultation is free and non-binding.
